Sync Inventory Updates and Create Products from Clover POS in Shopify by Kosmos eSync

Now that you have connected Clover to Shopify, below you’ll find the criteria to create new products and update existing products for inventory and price.

Note trials are limited to 48 hours or two days of product updates. With paid subscriptions you can go back and look for products added or inventory updates over a year or longer. With paid subscriptions, you can simply update your Action Dates via the calendar to go back a year plus if needed.

Test with a single Action first

Note the Unique Identifier to sync and create products in Shopify is the Product Name or title. If you change the product name, then another duplicate product will be created.

The Shopify SKU is also needed to match items to your POS. So, in this case the SKU field from Clover needs to match the Shopify SKU field. So, both the product name and the Shopify SKU need to match your POS.

Criteria to Create a New Product & Sync Existing Products By default with Shopify and new locations feature all new products are created with inventory = 0. See inventory Only Actions on how to update inventory from the POS.

1. Create Simple Products & Update Price (Send Standard Action)

  • Item has a Product Name in POS
  • Item SKU has been updated with new database time stamp in Clover.
  • Item has a Clover SKU
  • Item is Active in Clover
  • Item has Inventory Value (Zero or higher) in POS
  • Item has Price Value (Zero or higher) in POS
  • Item has a Category in POS
  • Item has a Product Description in POS (not required)

To restrict specific products from going up to your website just add the Label ‘instoreOnly’ in your Clover POS.

Criteria to Create a New Product & Sync Existing Products With Shopify’s new multi-location feature by default all new products are created with inventory = 0. See inventory Only Actions on how to send inventory updates from Clover POS to Shopify.

2. Create Matrix Products & Update Price (Send Matrix Action).

  • Item has a Matrix Parent Product Name in POS
  • Item SKU has been updated with new database time stamp in Clover.
  • Item has a Clover SKU
  • Item is Active in Clover
  • Item has Inventory Value (Zero or higher) in POS
  • Item has Price Value (Zero or higher) in POS
  • Item has a Category in POS
  • Item has a Product Description in POS (not required)

Note: Matrix products need to be built properly in Clover using the POS hardware or the Clover UI.

All SKU’s in Clover must be unique

Note two way inventory sync requires orders sync and item stock update based on Shopify orders created in Clover.

Action name: Clover update item stock for matching orders from Shopify then tag orders esyncExported. Please contact us in Support if this Action isn’t visible and we can activate it for you.

Criteria to Sync Inventory with Existing Products Run your inventory only Actions to update inventory to Shopify after a new product has been created. You will also need to update your inventory time stamp after.

3. Sync inventory only Standard Products Action (Send Inventory Levels Standard Action).

  • Item names match Clover POS and Shopify
  • Item has a new inventory time stamp in Clover POS.
  • Item SKU match Clover POS and Shopify
  • Item is Active

4. Sync inventory only Matrix Products Action. (Send Inventory Levels Matrix Action)

  • Item has a Matrix Parent Product Name in POS matches Shopify
  • Item SKU has been updated with new database time stamp in Clover.
  • Item has a Clover SKU
  • Item is Active in Clover
  • Item has Inventory Value (Zero or higher) in POS
  • Item has Price Value (Zero or higher) in POS
  • Item has a Category in POS
  • Item has a Product Description in POS (not required)

Price adjustments in Clover is a trigger to sync new items. When adding new products, we suggest adding the SKU first, and the price update last. If you update price first, the item may sync and if the SKU is missing, the item will fail. If the item failed, because the SKU was missing, now you’ll need to update the price for a new trigger. Change price by a penny, hit save, and change back, hit save again.

Note: The time stamp for creating products in Clover is different from the time stamp to update inventory only in Clover. So, running your Send Products Action after a sale in your POS will not update inventory. You will need to RUN your Update Inventory Levels Action in this case.
